1. Who we are

2. Contract information and correspondence
If you are an individual and place an order with us, we will hold personal information relating to that contract, such as your name, contact details, order details, delivery details, and correspondence about the contract.
We need certain information to fulfil your order. If you do not provide it, we may not be able to complete your order. In particular, you must provide your name and contact details, delivery address, and payment details.
Other correspondence or interaction (for example by email, telephone, post, SMS, website, or social media) will include personal information such as names and contact details. This may include enquiries, reviews, follow-up comments, complaints, and disputes.
If we engage with you on social media, we may use information you share with us (including your social media handle or profile) or which is available from your account to inform our correspondence with you.
If you visit our Facebook or Instagram page, Meta may be a joint controller with us in relation to information collected about your visit or interaction. Meta provides Page Insights as aggregated data. See Meta’s information about Page Insights and privacy explanation.
We may collect details of phone numbers used to call us and the date, time and duration of calls. If we record calls, we will tell you at the beginning of the call.
We use this information to carry out our contract with you (where applicable), to comply with legal requirements, and for our legitimate interests in preventing fraud, dealing with complaints or enquiries, administering your account or order, and improving our offerings (including troubleshooting, analysis, testing, research, statistical and survey purposes).
Where your information relates to a contract, we generally keep it for up to 7 years after your order (or later if a warranty or after-sales issue remains open) for after-sales queries, claims, and tax purposes.
Payment information is collected by our payment processors (including Shopify Payments / Stripe and PayPal) and retained by them in accordance with their privacy policies. We do not store your full card details.
Information on social media is retained under the relevant platform’s policies. Other correspondence that does not relate to a customer account is generally kept for up to 7 years after the matter has concluded.
3. Marketing
We may collect your name and contact details (email, phone, or address) to send you information about our products and services that may interest you.
You can opt out of marketing at any time by contacting us. Marketing emails include an unsubscribe option. If you opt out, we add you to a suppression list so we do not accidentally send further marketing. We may still contact you for administrative or operational purposes without marketing content.
We may use your contact details for our legitimate interests in marketing to you where we collected them as part of a sale or sale negotiation. Otherwise we only send marketing emails or texts with your consent.
We never share your name or contact details with third parties for their marketing unless you have specifically consented. We may use service providers to send marketing on our instructions, under confidentiality and security obligations.
We retain marketing details until you opt out, then keep you on the suppression list indefinitely to meet our legal obligations not to market to you further.
If you opt in to email or SMS marketing, please note that the website uses cookies to help track items in your shopping cart (including abandoned carts). That information may be used to send cart reminder messages by SMS or email where you have consented.
4. Website information
We may collect information about you and your use of our website via cookies, analytics tools and similar technology. This may include IP address, login data, browser type and version, time zone and location, plug-ins, operating system and platform, and other device technology. We use this for our legitimate interests in administering and improving the website, keeping it secure, and informing our marketing strategy. We may create aggregated statistics that are not personal information about you.
We or third-party advertisers may use this information to serve adverts. Targeted advertising may involve automated decision-making based on interests or status, without using your name or contact details. Where applicable, this is based on legitimate interests or your consent.
Third-party advertisers and analytics providers may also collect information using cookies. You can accept or reject non-essential cookies via our cookie consent tools. If you accept, those third parties process data under their own privacy policies.
If you click a “share”, “like”, or similar social button, the relevant platform may be a joint controller for information sent to them about that action. They use that information under their own policies.
For cookies on our site, see our cookie consent controls and any Cookie Policy linked from the site footer. We generally keep website analytics information for up to 12 months from collection or until the relevant cookie expires.
Our website may contain links to third-party sites. We do not control those sites and are not responsible for their privacy statements.
- Meta (Facebook / Instagram) — facebook.com/policy.php. We may work with Meta to serve personalised adverts. You can update advertising preferences in your Meta settings.
- Google — policies.google.com/privacy. Google may help us measure website traffic and behaviour. You can update preferences in your Google settings.
- Shopify — shopify.com/legal/privacy. Shopify powers our online store and checkout.
- Review partners — we may invite you to review products or service via a trusted review partner. We only pass the information needed to send that invitation, securely and on our instructions.
5. Photos, content and promotional material
This includes information you provide (reviews, comments, testimonials) or images or recordings of you that you allow us to take or use (including at our premises or events) for publication or display.
We may display and publish this content (and attribute it to you where relevant) for our legitimate interests in providing content and promotion, or where you have consented. You can ask us to remove your content by contacting us (subject to any agreement about our right to use it). Where we rely on consent, you may withdraw it at any time.
6. Professional information
If you work for one of our customers, suppliers or business partners, we may hold your contact details, employment details, and information about our relationship with you — collected from you or your organisation. We use this for our legitimate interests in managing that relationship, and generally keep it for up to 7 years after the relationship ends.
7. Information collected at our premises
Visitor information. We may record visits to our showroom or warehouse, including date and time, your name, and employer or contact details. Accident records may include an account of the incident. Visitor and accident information is generally kept for up to 5 years.
CCTV. We may operate CCTV at our premises. Notices indicate areas under surveillance. Footage is released only following a warrant or formal law-enforcement request, or as necessary for disputes. Recordings are generally kept for up to 90 days unless an incident requires longer retention.
Wi-Fi. If you use guest Wi-Fi at our premises, we may record technical identifiers (such as MAC address) and usage information. We do not actively monitor browsing content. This information is accessed only if we become aware of illegal activity or abuse, and disclosed only to law enforcement or as needed for a dispute. It is kept for a limited period unless an incident requires longer retention.
8. Applications, referees and emergency contacts
We collect information on job applicants (including work experience), from you, recruitment agencies, and referees. We may also review professional information you make available publicly (for example on LinkedIn).
We use this to consider entering an employment contract, for our legitimate interests in evaluating candidates, and to meet employment-law obligations. Special category data you volunteer is stored as part of your application on the basis you chose to provide it for that purpose.
Unsuccessful applications are generally held for up to 6 months after the recruitment round ends. Successful applicants’ information is then handled under our internal staff privacy notice.
Referees and emergency contacts: we hold name, contact details, and relationship information as needed to evaluate candidates or protect staff under employment law and our legitimate interests.
9. Legal claims
Where there is a risk we may need to defend or bring legal claims, we may retain personal information as necessary for that purpose, and may share it with insurers or legal advisers. Retention depends on the nature of the claim.
10. Other uses of your information
We only use personal information when the law allows us to. We generally rely on one or more of the following:
- Performance of a contract with you
- Compliance with a legal obligation
- Our legitimate interests (or those of a third party), where your interests and rights do not override them
- Protecting your interests or someone else’s, or acting in the public interest (rare)
- Your consent, in limited circumstances
We only use your information for the purposes set out in this notice, unless we reasonably need to use it for another compatible purpose. For an unrelated purpose, we will notify you and explain the legal basis.
11. Information we receive from third parties
We may receive information about you from:
- Service providers — including business partners, payment and delivery providers, advertising networks, analytics providers, and search providers
- Businesses we acquire — if we buy a business or its assets that held your information, we will use it in accordance with this notice
12. Sharing your information
We never sell your data to third parties. We may share it with service providers and other group entities where needed. Third parties must respect the security of your personal information and treat it in accordance with the law.
We may share information to comply with a legal obligation, enforce agreements, protect rights or safety, prevent fraud, or where we have another legitimate interest in doing so.
Service providers may include those supporting legal advice, contract administration, order fulfilment, delivery, IT, hosting, and payment processing (including Shopify, Stripe, and PayPal).
Group entities may receive information for reporting, reorganisation, system maintenance, or hosting. Processors acting on our behalf must do so only on our instructions and keep information confidential and secure.
We may also share information with professional advisers or potential buyers in a sale or restructuring, or with a regulator where required by law.
13. Where we store your information
Our headquarters are in the UK. Our online store is hosted by Shopify, and related systems may process data in the UK, EU/EEA, or other countries. Where personal information is transferred outside the UK, we take steps to ensure appropriate safeguards are in place (such as adequacy decisions or standard contractual clauses).
14. Data security
We use appropriate security measures to help prevent personal information being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. Access is limited to those who need it for business purposes, under confidentiality obligations. Our website uses HTTPS. Shopify is PCI DSS compliant for payment processing.
We have procedures for suspected data breaches and will notify you and any applicable regulator where required.
15. How long we keep your information
Retention periods are indicated in the sections above. We may keep information longer where needed for legal, accounting, or reporting requirements. We may anonymise information so it can no longer be associated with you, in which case we may use it without further notice.
16. Your rights
Under UK data protection law you have rights including: to be informed; access; correction; erasure; objection (including to direct marketing); restriction; data portability; withdrawal of consent where we rely on it; and to lodge a complaint with the Information Commissioner’s Office (ICO).
To exercise these rights, contact hello@beefurnitureoutlet.co.uk. You will not usually have to pay a fee, though we may charge a reasonable fee or refuse clearly unfounded or excessive requests. We may need to verify your identity before responding. We aim to respond within one month.
